Business Operations Coordinator
We are seeking a highly organized, proactive, and detail-oriented Business Operations Coordinator to support the operational, client, sales, and marketing functions of a growing consulting and leadership development business.
This role works closely with leadership, clients, coaches, facilitators, and external vendors in a fast-paced and collaborative environment. The ideal candidate is a self-starter with strong coordination and administrative skills, excellent communication abilities, and a solid understanding of how technology supports modern business operations.
This individual thrives on creating structure, ensuring follow-through, and continuously improving processes while remaining adaptable and solution-oriented.
Key Responsibilities
Client & Partner Coordination
Manage day-to-day coordination with clients and partners, ensuring timely communication and a high level of service
Coordinate communication between clients, coaches, facilitators, and external vendors
Provide end-to-end support for client engagements, including workshops, leadership programs, and consulting projects
Manage client correspondence, follow-ups, and post-engagement communication
Provide logistical and operational support for workshops, programs, and events
Coordinate contracts, Statements of Work (SOWs), and related documentation
Sales & CRM Support
Manage and route incoming sales and client inquiries
Maintain CRM systems (HubSpot and/or GoHighLevel) to track leads, contacts, opportunities, and engagement status
Ensure accurate CRM data entry, tagging, segmentation, and reporting
Support sales processes through pipeline tracking, follow-ups, and reporting
Analyze engagement and assessment data to identify insights and trends
Assist leadership with pipeline visibility, forecasting support, and sales coordination
Marketing & Brand Support
Schedule and publish social media posts, newsletters, and campaign content using provided templates and assets
Update website content and backend elements as needed
Coordinate the creation and formatting of presentations, templates, and marketing collateral
Support marketing campaign execution, tracking, and performance reporting
Bonus:
Assist with basic landing page creation, forms, and system integrations
Operations & Program Coordination
Coordinate with bookkeeping on Statements of Work, invoicing, and payments
Provide operational and coordination support for leadership development programs and consulting engagements
Create, document, and maintain standardized processes for service delivery
Develop high-quality PowerPoint presentations, templates, and executive-ready materials
Manage platforms and vendors used for leadership assessments and program delivery
Maintain subscriptions, permissions, and access across business tools and systems
Coordinate meetings, calendars, agendas, and follow-up actions
Streamline communication and collaboration across clients, coaches, and internal stakeholders
Maintain organized document management systems (OneDrive, Google Drive, SharePoint, etc.)
Support ad-hoc projects to ensure smooth and efficient business operations
Qualifications & Skills
Technical Skills
Experience working with CRM systems required, preferably HubSpot and/or GoHighLevel
Strong proficiency with Microsoft Office 365 (Excel, PowerPoint, Outlook)
Experience using Google Workspace (Docs, Sheets, Drive)
Familiarity with CRM tools for contact management, pipelines, workflows, and sequences
Experience using DocuSign or similar e-signature platforms
Comfortable working in cloud-based technology environments
