The Labor Relations Analyst provides administrative and operational support to the Human Resources team, ensuring that employee documentation, personnel records, contracts, and employment-related processes are completed accurately, consistently, and on time.

This is a junior-level HR operations position focused on maintaining accurate and compliant employee records and supporting HR processes throughout the employee lifecycle, from hiring and onboarding through employee changes, leave administration, and offboarding.

The position works closely with employees, HR representatives, and internal departments to ensure documentation is complete, properly maintained, and handled with a high level of confidentiality and professionalism.

Essential Duties & Responsibilities

Employee Documentation & Personnel Records

  • Prepare employment contracts, addendums, letters, acknowledgements, and other employment-related documents using approved templates and processes.
  • Coordinate and follow up on employee signatures and required documentation.
  • Create, organize, maintain, and update employee personnel files in both physical and digital formats.
  • Review personnel files to ensure required documentation is complete and identify missing or outdated information.
  • Maintain accurate employee information in the company's HRIS and other internal HR systems.
  • Support internal document audits and provide employee documentation to authorized HR personnel when requested.
  • Ensure employee information and documentation are handled in accordance with established confidentiality and access procedures.

Hiring & Onboarding Administration

  • Prepare and collect required documentation for new hires prior to their start date.
  • Coordinate background checks and employment eligibility documentation when applicable.
  • Create new employee records and ensure all required documentation is properly filed.
  • Support the administrative aspects of employee onboarding and orientation.
  • Coordinate employment contract signatures, policy acknowledgements, and other required onboarding documents.
  • Follow up with new hires regarding outstanding documentation, signatures, or required information.
  • Coordinate with relevant internal departments to ensure onboarding requirements are completed on time.

Employee Lifecycle Administration

  • Process routine employee changes, including promotions, salary adjustments, position changes, schedule changes, transfers, and other personnel movements, based on approved HR instructions.
  • Prepare documentation related to employee resignations and terminations.
  • Support resignation and offboarding processes, including documentation, signatures, records, and coordination with relevant departments.
  • Maintain accurate records of employee movements and employment status changes.
  • Support benefits enrollment and employee information updates when required.
  • Ensure HR records are updated promptly following approved employee changes.

Attendance & Leave Administration

  • Support the preparation, review, and validation of attendance reports.
  • Maintain accurate records related to absences, permissions, vacations, medical leave, and other attendance matters.
  • Receive, review, and properly document employee leave-related documentation.
  • Follow up on missing or incomplete attendance and leave documentation.
  • Identify discrepancies and escalate situations requiring HR review or approval.

Labor Relations & HR Administrative Support

  • Provide administrative support for disciplinary and employee relations processes, including preparing documentation and organizing supporting records.
  • Assist HR representatives during disciplinary meetings, investigations, and termination processes when requested.
  • Maintain confidential records related to disciplinary actions and employee relations cases.
  • Respond to routine employee questions regarding HR processes, documentation, benefits, policies, and procedures.
  • Escalate complex, sensitive, legal, or non-routine employee relations matters to the appropriate HR representative.
  • Support HR with documentation required for internal audits, compliance processes, and other employment-related requirements.
  • Maintain organized records and documentation to support HR's compliance with internal policies and applicable employment requirements.
  • Perform other HR administrative duties and projects as assigned.

  • Ability to follow established processes, templates, policies, approval workflows, and documentation standards.
  • Ability to identify discrepancies and escalate issues appropriately rather than making decisions outside the scope of the position.

Education & Experience

  • Bachelor's degree in Human Resources, Business Administration, Psychology, Legal Sciences, or a related field, either completed or currently in progress.
  • 6–12 months of HR administrative experience preferred.
  • Previous experience with employee documentation, contracts, personnel files, HRIS administration, payroll support, attendance administration, or general HR operations is desirable.
  • Internship, academic, or entry-level experience in HR may be considered for candidates who demonstrate strong organizational skills and a willingness to learn.

Position Level

Junior / Entry-Level HR Professional

This position primarily executes established HR processes, procedures, and administrative workflows. It does not independently make decisions regarding employee relations, disciplinary actions, legal matters, compensation, policy interpretation, or other sensitive employment matters.

Complex, sensitive, legal, disciplinary, compensation, or policy-related situations should be documented and escalated to the appropriate HR representative or HR leader for review and decision-making.
